Privacy Policy

Last updated: October 2026

1. Introduction

Quilltrack ("we," "us," "our," or "Company") is committed to protecting your privacy. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our website, mobile application, and writing tracking and worldbuilding platform (the "Service").

The Service includes two modules: Pacetrack (writing progress tracking, projects, goals, sprints, and analytics) and Plottrack (worldbuilding, story, and character management, including universes, timelines, characters, locations, factions, and related features).

Please read this Privacy Policy carefully. If you do not agree with our policies and practices, please do not use our Service. By accessing and using Quilltrack, you acknowledge that you have read, understood, and agree to be bound by all the provisions of this Privacy Policy.

2. Information We Collect

2.1 Information You Provide Directly

  • Registration Information: When you create an account, we collect your email address, full name, and a password.
  • Guest Sessions: You can try Pacetrack without creating an account. Progress logged that way is held in a temporary guest session and any guest data on our servers is deleted automatically within 24 hours. Creating an account keeps it against your account instead.
  • Writing Project Data (Pacetrack): Information about your writing projects including title, description, genre, phase, target word counts, cover images, milestones, tags, and notes.
  • Progress Entries: Word counts, session dates, session types, notes, tags, time tracking data, and writing analytics.
  • Goal Data: Target goals, habit goals, annual writing goals, and custom goal configurations.
  • Worldbuilding Data (Plottrack): Universes, timelines and eras, books, characters, locations, factions, items, scenes, plot threads, timeline events, relationships, lore entries and custom World sections, languages, maps, research notes, saved versions (snapshots), custom fields and field templates, and dashboard layouts you create. If you link a book to a Pacetrack project, we also store that link and mirror the project's title, status, word count target, and cover on the book.
  • Uploaded Images: Cover images for projects, books, and universes; character portraits and attribute images; location images; and map images you upload to the Service. Saved versions and universe exports are stored as files in our private storage and are reachable only through your account.
  • Payment Information: When you subscribe to Plottrack Pro, your subscription plan, billing status, and renewal date are stored. Payment card data is processed by our payment processor (Stripe) and is not stored on our servers.
  • Contact Submissions: When you submit a suggestion or report an issue through our contact form, we collect your email address, submission type, and your message.
  • Profile Data: Display name, bio, role, and user preferences you choose to provide.

2.2 Information Collected Automatically

  • Device Information: Device type, operating system, browser type, and IP address.
  • Usage Data: Features accessed, actions performed, session duration, and interaction patterns. We use analytics to understand how users interact with the Service and improve the user experience.
  • Signup Attribution: How you reached us (for example a search engine, social network, or campaign link, including UTM tags), the platform you signed up from (web desktop, web mobile, or the mobile app), and the signup method (email or a social provider). This is captured once, at signup, stored with your account, and is never used to follow you around other websites.
  • Cookies: We use cookies and similar technologies to maintain your session, remember your preferences, and recognize you on return visits.

3. How We Use Your Information

We use the information we collect for the following purposes:

  • To create and maintain your account
  • To provide, maintain, and improve the Service, including both Pacetrack and Plottrack modules
  • To calculate and display your writing statistics, progress metrics, analytics, and worldbuilding summaries
  • To enable goal tracking, streaks, and provide progress notifications
  • To process subscription payments and manage your Plottrack Pro subscription
  • To send transactional emails (account confirmation, password resets, and sign-in verification)
  • To respond to your contact submissions and support requests
  • To comply with legal obligations
  • To detect and prevent fraud or security issues
  • To understand how users interact with our Service and improve the user experience
  • To measure which channels and campaigns bring writers to the Service

4. Legal Basis for Processing (GDPR)

If you are located in the European Economic Area, United Kingdom, or Switzerland, we process your personal data under the following legal bases:

  • Performance of a Contract: Processing your data to provide the Service you requested, including account functionality, data storage, and subscription features.
  • Legitimate Interests: Processing usage data to improve the Service, ensure security, and prevent fraud, where our interests are not overridden by your rights.
  • Consent: Processing data based on consent you provide, such as analytics tracking and optional communications. You may withdraw consent at any time.
  • Legal Obligation: Processing data to comply with applicable laws and regulations.

5. Data Sharing and Disclosure

We do not sell, trade, or otherwise transfer your personal information to third parties without your consent. We may share information with the following categories of recipients:

  • Payment Processor (Stripe): To process subscription payments. Stripe processes your card data under its own privacy policy and we only receive your subscription status and customer identifier.
  • Service Providers: Hosting providers, analytics providers, and email delivery services who assist us in operating the Service, under appropriate data processing agreements.
  • Legal Compliance: To comply with legal obligations, court orders, or government requests, or to protect our legal rights and the safety of our users.
  • Business Transfers: In the event of a merger, acquisition, or sale of assets, we will notify you before transferring your data.

6. International Data Transfers

Your information may be transferred to and processed in countries other than your own, including the United States and European Union member states. We take appropriate measures to ensure your data is protected in accordance with this Privacy Policy and applicable law, including using standard contractual clauses or other approved transfer mechanisms where required.

7. Data Retention

  • Registered Accounts: We retain your account data for as long as your account is active. You may request deletion of your account and associated data at any time.
  • Archived Projects: Archived writing projects and their historical data remain available to you indefinitely unless you request deletion.
  • Uploaded Images: Images you upload are retained for as long as the associated entity (project, book, character, location, map, or universe) exists. Deleting the entity removes its images.
  • Saved Versions and Exports: Snapshot files and exports are retained while the universe they belong to exists. Deleting a universe removes its records, images, and saved versions.
  • Payment Records: Subscription and billing records are retained for the duration required by applicable tax and accounting laws.
  • Contact Submissions: Contact submissions are retained until the issue is resolved and then deleted, unless required for legal compliance.
  • Guest Sessions: Guest data is temporary. It is removed automatically within 24 hours, so nothing entered as a guest is kept long term.

8. Data Security

We implement industry-standard security measures to protect your personal information against unauthorized access, alteration, disclosure, or destruction. Uploaded images and saved versions are stored in private storage with access-controlled signed URLs. Every Plottrack record is scoped to your account, so your universes, characters, and other worldbuilding data are readable only by you. However, no method of transmission over the Internet or electronic storage is 100% secure. While we strive to use commercially acceptable means to protect your information, we cannot guarantee absolute security.

9. Your Rights

Depending on your location, you may have certain rights regarding your personal data:

  • Right to Access: You can request a copy of your personal data.
  • Right to Rectification: You can request correction of inaccurate data.
  • Right to Erasure: You can request deletion of your data ("right to be forgotten").
  • Right to Data Portability: You can request your data in a portable format.
  • Right to Object: You can object to processing based on legitimate interests.
  • Right to Restrict Processing: You can request that we limit the processing of your data.
  • Right to Withdraw Consent: You can withdraw consent at any time where processing is based on consent.

California residents may also have the right to opt out of the sale or sharing of their personal information. We do not sell your personal information. To exercise any of these rights, please contact us at hello@quilltrack.app.

10. Cookies and Tracking

We use cookies and similar tracking technologies to maintain your session, remember your preferences, and improve your experience. You can control cookie settings through your browser, though this may affect some functionality of the Service.

We also use advertising and measurement tags (for example Google Ads and Reddit Ads) to see which channels and campaigns bring writers to the Service. Those providers may set their own cookies or identifiers, and they handle that data under their own privacy policies.

11. Third-Party Services

Our Service integrates with third-party services including Stripe (payment processing), Google (authentication), and analytics providers. These services have their own privacy policies governing how they handle your data. We encourage you to review their policies.

12. Children's Privacy

Quilltrack is not intended for children under 13 (under 16 in the European Economic Area). We do not knowingly collect personal information from children. If we become aware that we have collected data from a child, we will delete it immediately.

13. Changes to This Policy

We reserve the right to update this Privacy Policy at any time. Changes will be posted on this page with an updated "Last updated" date. We will notify you of material changes via email or in-app notification where required by law.
